Recheck the authoritative instructions
Use the current award terms, funder portal, or official reporting instructions to verify forms, reporting period, attachments, signatures, and submission method. Do not rely on a prior-cycle checklist without confirming it.
Confirm every required component
Match each requirement to a final file or completed portal field. Treat missing, draft, and review-ready as different states so an incomplete attachment cannot appear finished.
Reconcile figures and claims
Confirm that key dates, participant counts, outcomes, expenditures, and balances agree across the narrative, financial report, attachments, and any cover form.
Check approval authority
Name the person authorized to approve the final package, the person responsible for portal submission, and a backup if timing is critical.
Run a portal-ready file check
Verify filenames, formats, file sizes, signatures, and version labels before the submission session. Keep the exact approved files in one controlled location.
Capture proof and follow-up
Save the final package, confirmation screen or email, submission date, and any follow-up obligation. A report is operationally complete only when the organization can prove what was submitted.
